Who we are

Megacity Properties Ltd is a residential lettings and property management agency based in Manchester. For the purposes of UK data protection law we are the data controller for the personal information described in this policy.

What we collect

• your name, phone number, email address, the property or postcode you asked about, and anything you write in a message or form.
• where you become a client or tenant, the information needed to let and manage a property, including tenancy, referencing, deposit and maintenance records.
• anonymous statistics about how the site is used, and, where you consent, analytics and advertising cookies (see Cookies below).

Why we use it

• To answer your enquiry, arrange viewings and provide valuations you have asked for.
• To perform our contract with you as a landlord or tenant, and to manage a tenancy.
• To meet our legal duties, including Right to Rent checks, deposit protection, safety compliance and anti-money-laundering obligations.
• With your consent, to send you details of properties or services that may interest you. You can withdraw consent at any time.

Who we share it with

We share personal information only where it is necessary, for example with referencing providers, deposit schemes, contractors attending a maintenance job, our lettings management software provider, the company that hosts this website, the service that delivers our emails, property portals when a property is advertised, and our professional advisers or regulators. We never sell your personal information.

How long we keep it

We keep enquiry records for as long as needed to deal with your enquiry and for a reasonable period afterwards. Tenancy and financial records are kept for the periods required by law and by our regulatory obligations, then securely deleted.

Your rights

You have the right to ask for a copy of the personal information we hold about you, to have it corrected or erased, to restrict or object to how we use it, and to ask us to transfer it. To make a request, email info@megacityproperties.co.uk. The Information Commissioner’s Office (ico.org.uk) is the UK’s independent regulator for data protection.

Cookies

Cookies are small files stored on your device. This website does not need any to work, and analytics or advertising cookies are only ever used if you agree to them:

• if we ask about cookies, your answer is remembered in your browser’s own storage on this device for six months, so we do not ask again on every page.
• if we turn these on, a banner asks you first, and nothing of this kind loads unless you accept. They tell us which pages are visited and how the site performs.
• the same: only if we turn them on and only if you accept, so that our adverts can be shown to people who have visited the site and so we can measure whether they work.

Where you are asked, you can accept or decline, and change your mind at any time by clearing this site’s data in your browser settings.

We count how often our property listings and 360° tours are viewed, and which missing addresses people reach, on our own systems, without cookies and without sending anything to a third party. To tell repeat visits on the same day apart we use a one-way code made from your connection details and the date. It changes every day, so it cannot be used to follow you from one day to the next.

If you reach us through one of our adverts, letters or leaflets, the label on that link (for example “leaflet, Salford”) and the website you came from are kept in your browser for that visit only, and sent with any enquiry you make, so we can tell which of our adverts work. It goes nowhere else.

The maps on our property pages and contact page are Google Maps. When a map loads, your browser connects to Google, which receives your IP address and may set its own cookies; Google’s privacy policy covers that.

Security

The website is served over an encrypted connection, enquiry forms are protected against automated abuse, and access to our systems is limited to staff who need it.
